Documenting teletherapy in TherapyNotes

If you been using TherapyNotes for any length of time, you are probably on automatic pilot when it comes to entering progress notes. However, when you do a therapy session or intake via teletherapy, there are a couple of settings you need to confirm for the appointment in TherapyNotes.

  1. Be sure the Location setting for the appointment is set to Telehealth.
  2. Make sure that the Service Code value is set to the Telehealth option appropriate for the duration of the appointment. Below is an example of an appointment with settings for teletherapy.​​​​​​​ If the appointment is an intake, be sure to select the code for a teletherapy intake.
Be sure to set the Location and Service Code to values appropriate for telehealth.

The actual Service Code settings you see will depend on the codes used by your practice. If you don’t see such options, you will need to talk to the TherapyNotes administrator in your practice. If you are the TherapyNotes administrator, or a solo practitioner, you may have some more work to do!

One more thing…

By the way, when you set the Location value to Telehealth, you may see a warning that the clinician is scheduled to work at a location other than Telehealth at the specified time when you try to save the appointment. That message will appear if your TherapyNotes work schedule has you slated to work at a physical office location. To avoid seeing this warning every time you change an existing appointment to Telehealth, change the work locations on your Work Schedule tab in the Staff section of TherapyNotes.
